STADIUM SUPERVISOR CHECKLIST

Located Reception. The Stadium Supervisor will oversee all aspect of Competition.

  • Communicate all issues/complaints to Competition Manager.
  • Communicate and liaise with Game Supervisor(s) where required.
  • Ensure booth is tidy.
  • Prepare courts (lights, clocks).
  • Prepare equipment (scoresheets & basketballs [pumped]).
  • Customer enquiries (booth & phone).
  • Provide general information regarding Basketball & programs offered.
  • Address problems as they arise in a courteous manner.
  • Distribute & collect scoresheets.
  • Distribute & collect basketballs.
  • Customer complaints (general).
  • Collect payments & receipt all monies.
  • Pay referees & coaches as per approved paysheet.
  • Ensure By-Laws are enforced.
  • Oversee Emergency Evacuations.
  • Oversee First Aid Emergencies.
  • Sell merchandise & event tickets.
  • Liaise with Game Supervisors regarding competition matters eg forfeits.
  • General competition administration as instructed.
  • Balance takings and secure in safe.
  • Ensure booth is clean and tidy at conclusion of shift.
  • Shut down lighting, clocks and ensure basketballs are collected.
  • Ensure details re. damage, problems, stock, complaints etc are communicated to Managers.
  • Arrange paperwork in order and file.
  • Ensure all equipment is secured and returned to correct location.
  • Ensure the facility is secure and alarm activated at the conclusion of each shift. All Supervisors are to leave facility together

OPENING – STADIUM SUPERVISOR

  • Collect folders from office and discuss any issues with Competition Manger
  • Proceed to Reception.
  • Check that all lights and scoreboards are on at the control panel.
  • Lock door into Reception area. Only Stadium Supervisor and Office staff are allowed access to this area.
  • Enter Reception Back Office and close door behind you.
  • Retrieve float from safe and count your float, place in tray (located above safe).
  • Proceed to Reception place tray into under counter cash tray drawer. Make sure Reception Back Office door is closed. Should be closed at all times.
  • Place till in designated work space and sign on to computer
  • Start an email to be sent to Competitions Manager, Officials Manager and General Manager. Game Supervisor communication should be provided to Stadium Supervisor to be included on email. Should information need to distributed to other staff Competition Manager will circulate.
  • Distribute walkie talkies (Stadium Supervisor(s)/Hornets Academy Supervisor OR Game Supervisors). Available from  the Reception Back Office cupboard. Ear pieces must be worn at all times.
  • Place score sheets on folders or sign on sheets as required.
  • Process any payments received during the day. Pencil case provided by Receptionist.
  • Saturday / Sunday Stadium Supervisor to check laundry. Dry, fold and return clothes/towels.

CLOSING

  • Stadium Supervisor to lock the front door 10 minutes after last game. Any patrons remaining in the building will need to push the green button near front doors (or Stadium Supervisor from the booth) to exit the building.
  • Stadium Supervisor to turn off the i-wall, televisions, computers & monitors.
  • Game Supervisor #1 – Zone 1 (Court 1 & 2 wing) – Check & lock all fire exit doors, bathrooms, change rooms, referee room, first aid room & upstairs area.
  • Game Supervisor #2 – Zone 2 (Court 3-6 wing) – Check & lock all fire exit doors, bathrooms, change rooms, coaches room (including windows), cafe, back door, back gate & office.
  • Stadium Supervisor to turn off all lights, scoreboards at the control panel.
  • Stadium Supervisor to set alarm.
  • All 3 staff are to leave the stadium at the same time. Must leave via the egress door beside the sliding front doors.
  • Check that the sliding doors do not open (as a security safety measure).

CASH UP PROCEDURE (Stadium Supervisors #1)

Beginning of last game:

  • Print Till balance.
  • Count Eftpos/Credit slips in preparation for reconciliation.

Half time of last game:

  • Remove tray from under counter cash drawer.
  • Take tray to Reception Back Office
  • Lock door
  • Count funds, complete paperwork. Attach Till Balance report to paperwork. Should you not balance write details on the 2nd Till Balance.
  • Once completed drop cash, eft/credit/paperwork in the drop safe.
  • Return to front desk. Complete reconciliation in accounts system using the 2nd Till balance information.

Double Up Shifts – Stadium Supervisor #2

Beginning of last game.

  • Print Till balance.
  • Count Eftpos/Credit slips in preparation for reconciliation.
  • Remove tray from under counter cash drawer.
  • Take tray to Reception Back Office
  • Lock door
  • Count funds, complete paperwork. Attach Till Balance report to paperwork. Should you not balance write details on the 2nd Till Balance.
  • Once completed drop cash, eft/credit/paperwork in the drop safe.
  • Return to front desk. Complete reconciliation in accounts system using the 2nd Till balance information.
  • At half time allow Supervisor #1 to complete reconciliation in preparation for closing.

GAME SUPERVISOR | CHECKLIST

  • Communicate all issues/complaints/issues to Stadium Supervisor.
  • Ensure Referee Room is adequately stocked.
  • Ensure all referees are on-court & ready prior to warm-up period.
  • Should referees be late for game, the Game Supervisor may be required to referee.
  • Address referee issues as required, including customer complaints.
  • Provide general information regarding rules & by-laws.
  • Address problems as they arise in a courteous manner.
  • Provide general information regarding all programs offered by HBA.
  • Educate officials on general procedures including replacement, availability.
  • Replace officials if required. #1
  • Approve referee payments for Stadium Supervisor. #1
  • Ensure By-Laws are enforced. Including uniform by-laws.
  • Check scoresheets for written names. Seek authorisation from Stadium Supervisor & sign off.
  • Assist with emergency evacuation procedures if required.
  • Provide First Aid (as per court allocation)
  • Ensure spillages are attended
  • Clear benches to team staff & players only
  • Provide referee coaching in a positive, proactive and productive manner.
  • Report any breach’s of the Referee code of Conduct at any level to Stadium Supervisor.
  • Review & authorise referee match reports when required.
  • Provide written evaluations and recommendations for official upgrades.
  • Implement performance penalties to officials who fail to perform as per the Referees Code of Conduct.
  • Arrange paperwork in order and file.
  • Take all used towels, hire uniforms and borrowed referee shirts to Laundry. Put on a load of washing as per Instructions in laundry room.
  • Ensure all equipment is secured and returned to correct location.
  • Ensure Referee Room is clean/tidy, locked and secure at the conclusion of each shift.
  • Ensure the facility is secure (including all exit doors) at the conclusion of each shift. All Supervisors are to leave facility together (see reverse).

OPENING – GAME SUPERVISOR

  • Collect roster, pay sheet & folders from office and discuss any issues with Officials Manager.
  • Revise any issues from previous week (teams/officials). Discuss with Officials Manager.
  • Listen to all messages on phone. Advise Officials Manager of any issues/messages.

CLOSING – ALL SUPERVISORS

Checklist – Rep Game Day Stadium Supervisor

GENERAL: OVERSEE GAME DAY

  • Ensure Statisticians and Scoretable have equipment on court ready to proceed at game time.
  • Ensure all Statistics and Scoretable equipment is used with respect and stored appropriately.
  • Ensure all staff, officials and spectators feel safe and comfortable in the stadium
  • Develop and maintain proactive and positive relationships with game day officials.
  • Lifting of heavy equipment done in a safe manner.
  • Ensure all officials are aware that you are a point of call and support.
  • Maintain a harmonious and positive work environment for all that enter the stadium.
  • Ensure delivery of best practice communication between staff and officials.
  • Ensure you are proactively and constantly moving between all courts.
  • Ensure zero tolerance is maintained at all times.
  • Ensure Games run on time as per Waratah league Run Sheet (kept In Black Box).

GAME DAY OFFICIALS’ ADMINISTRATION – REP

  • Ensure float for Door takings and Booth is prepared.
  • Ensure the Scoretable/Statistician/Hype/Live Stream Commentators paysheet has been prepared.
  • Ensure all Officials sign the paysheet once they have collected their pay.
  • Ensure all DQ fouls are recorded and emailed to appropriate people.
  • Ensure all Scoresheets / Sign on Sheets / Courtside / Injury forms from games are printed and emailed to appropriate people.
  • All results must be entered into Game Day (BNSW) on the day – Juniors.
  • Ensure all original paperwork is sent to BNSW Monday after the weekend’s games.

GAME DAY PLAYER + GAME ADMINISTRATION

  • Sign on sheets are available 1 hour prior to the commencement of 1st game of the day.
  • Doors must open 1hour prior to commencement of game.
  • Ensure that players are aware that sign on sheet must be completed prior to commencement of game – Seniors.
  • Ensure that Managers are aware that they need to check scoresheets prior to commencement of game – Juniors.
  • By-Laws on hand if an issue arises amongst teams, coaches, and individual players.
  • Ensure scoresheets are returned to the Representative Supervisor at conclusion of game.
  • Communicate equipment malfunctions, issues and concerns to be emailed to appropriate people. 

GAME DAY CUSTOMER SERVICE

  • Address customer feedback as they arise in a courteous manner.
  • Address customer enquiries as they arise in an open and honest manner.
  • Provide general information regarding products and programs offered at HBA.
  • Seek assistance from the staff if further information is required for a customer inquiry.
  • Communicate all customer feedback to Representative Manager.
  • Create a harmonious, safe, and enjoyable environment for our customers.
  • Address any queries from Coaches, Manager or team officials.
  • Liaise with Basketball NSW on call Manager if needed.

GAME DAY CUSTOMER COMPLAINTS AND ISSUES

  • Communicate all game day customer complaints and issues to the appropriate people.
  • Positive, proactive communication strategies with customers (i.e. active listening, eye contact, tone and open body language).

GAME DAY FIRST AID + FACILITY MANAGEMENT

  • Assist with emergency evacuation procedures if required.
  • Provide initial first aid assessment for players, coaches, and referees.
  • Ensure spillages are attended.
  • Familiarise yourself with the Education Portal for detailed explanation of First Aid procedures and processes. Communicate with Reception via email when first aid stock is limited or non-existence in the first aid box/room (i.e. no saline or bandages). Paper towel, gloves, Band-Aids etc
  • Ensure dirty laundry has been placed in the washing machine and turned on. Ensure that tissues, paper towel and gloves that have blood on them are sealed in a sandwich bag, placed in the bin in the First Aid Room and notify the appropriate people.
  • Ensure the Stadium is secure (check fire exits and courtyard doors) and alarm activated at the conclusion of the night. Staff should leave the stadium together

Checklist – Rep Supervisor – JUNIORS

RESPONSIBILITIES

  • Supervisors’ arrival time must be 1 ½ hrs prior to public arrival (Min 2 people)
  • Must Ensure all games run on time and the day is completed on time and in time for Local Comp.

OPENING STADIUM

  • To unlock the sliding door, use key in the lock pictured and turn to the right as per HH-Guide Entry/Exit procedures.
  • Proceed to Office area. If locked, use key to open. The keypad is located on the wall opposite the door, above the printer. The security system should say ARMED. Key in your individual code and select ‘OFF’ If you have done this correctly, the security system will say DISARMED. If you do this incorrectly, or take too long, the alarm will go off. If you make this mistake, you can put it in correctly to stop the alarm.
  • Directly opposite the alarm keypad, on the right-hand side of the door, is the lighting control system. Use the stylus to tap on the screen. Then put the code TBA (to each individual staff member) in to the keypad that appears and select OK. You can then use the system to control which lights to turn on and scoreboards if you need them. Please note that if you plan to use central timing, Court 1 and 2 are connected and must be on for this to work.
  • Opening the door for staff, push the green button or use supervisor key in silver lock near door, turn to open.
  • ONE HOUR before the first game, unlock the sliding doors for customers by turning the key to AUTO in the lock to the left of the door
  • Supervisor to retrieve Black Rep Box from Rep Manager office.
  • Supervisors to mic up while having a team meeting about the day.
  • Supervisor to set up balustrade at the entry door to the counter. (Balustrades located near First Aid Room)
  • Supervisor to retrieve bench equipment (shot clocks and Paddles) from Rep Cupboard and connect to each courtside bench.
  • Confirm Towels are at each courtside bench.
  • Scoresheets with game timing rules to be displayed on clip boards on lower level of front counter. (Supervisors Desk)
  • Check all pens on clip boards are working and two different colours.
  • Games and Courts to be written on the whiteboard.
  • Door float and money box to be taken from Safe and set up at entry station with EFTPOS machine available.
  • Supervisor float retrieved from the safe, set up as per HH Guide (POS) in Next Gen.
  • Log on to Computers as per HH Guide (POS) Next Gen.
  • Open NSW Game Day Program ready for lodging game results.
  • Open New email addressed to Rep Manager and CEO for any correspondence.
  • Make sure entry door prices are displayed with Zero Tolerance signage.
  • 1 hour before First Game, open doors to public.
  • Doorkeeper/Supervisor’s MAIN DUTY commence taking entry fees as per fee schedule. Wear a T (new) get in free.

RESPONSIBILITIES OF DOOR KEEPER

  • Doorkeeper MAIN PRIORITY is to continue taking fees as well as Customer Service.
  • If customer que is minimal doorkeeper should have the ability to sell merchandise as per NG – sales (as per HH Guide)
  • If unable to serve Customer, two-way radio should be used and a supervisor called.
  • Doorkeeper should be aware of cash holding and time permits bank into NG – sales (as per HH guide)
  • If time permits doorkeeper to update White board with games, times and courts.
  • If time permits doorkeeper should have the ability to process Referees pays as per NG (as per HH guide).
  • Doorkeeper should have knowledge in putting game results into BNSW game day as per manual in Representative black box.
  • Doorkeeper should have knowledge in end of day balancing of terminal as per NG (as per HH guide)

RESPONSIBILITIES OF SUPERVISORS

  • At the beginning of each game and each time slot, Supervisor to meet and greet Officials of each team.
  • When meeting each coach and manager Supervisor must advise Zero Tolerance Rules and be aware of players uniforms.
  • Game Management Customer Service (as per HH guide)
  • Game Management First Aid (as per HH guide)
  • Game Management Zero tolerance (as per HH guide) and Basketball NSW Policy and procedure
  • Game Management Conflict Resolution (as per HH guide)
  • Game Management Emergency (as per HH guide)
  • Game Management COVID PLAN (as per HH guide)
  • Game Management NSW By-Laws Junior League (Copy Held in Black Rep Box and Online NSW Basketball)
  • Game Management Equipment
  • Game Management Injuries (as per HH-Guide)
  • Equipment failure to be sent via email at the end of the day to Rep Manager and CEO
  • End of Day Email outlining any problems, Injuries, disqualifications, or ejections to be sent to Rep Manager, CEO (and NSW Basketball where applicable)

ENTERERING RESULT ON GAME DAY

  • Before Game Day Results are entered Must Check that the score sheets a completed correctly:

*Check Scoresheets have no hand written names entered on the players list.

*Check there is only 10 players listed to play

*Check the coach has signed the score sheet

*Check the referees have signed the top of the score sheet

*Check the scores are accurately written in the results box

*Check the correct winning team is written on the score sheet

*Once this is done the sheet is then ready to be entered into Game Day results

*Once game sheets are entered in Game Day results keep score sheets together for End of Day procedure

  • Consultation with Referee Supervisor which referees are not Hills Based referees (these are not paid bonus $5.00)
  • Payment of Referees Via POS (as per HH-Guide) after consultation with Referee Supervisor
  • Payment of Scoretable Staff Via POS (as per HH-Guide)

ENTERERING RESULT ON GAME DAY

  • Link for Game Day will be forwarded from Representative Manager.
  • Select Venue/Hills Hornets, Login; reps@hillshornets.com.au Password; TBA by Rep Manager (for security reasons)
  • Check Correct Dates in Show Matches commencing on (dd/mm/yy)
  • Check correct Dates showing and concluding on (dd/mm/yy)
  • In the Venue Name Box; Select Hills Hornets Court 1
  • After Selecting Court 1 Continue the same process to Court 6
  • All Games for this date should be listed as Home and Away.
  • When entering Results careful to select correct teams when allocating scores.
  • The program will allocate WIN/LOSS 

GAME DAY CUSTOMER COMPLAINTS AND ISSUES

  • Issues to be handled as per NSW Representative procedure (kept In Black Box)
  • Game day ejections to be handled as per NSW Representative procedure (kept in Black Box)
  • All customer complaints and issued sent to Representative Manger in end of day email. 

GAME DAY FIRST AID + FACILITY MANAGEMENT

  • Game Management for first Aid as per HH-Guide.
  • Copy to Basketball NSW on game day.

END OF DAY PROCEDURE

  • Bank and Balance Door float leaving $100.00 float in pencil case.
  • Ensure all pays have been processed, collected and signed for.
  • Balance Supervisor cash as per POS-HH Guide.
  • Send Email to Representative Manager and appropriate team.
  • Scan and email all Scoresheets, diary notes, and copy of original referee Pay sheet to BNSW (Addresses noted in copier).
  • Place all Scanned documentation on Representative Managers Desk.
  • Ensure the Black Box with all game timings and bi-laws and folders are placed back in Rep Managers Office.
  • Ensure dirty laundry has been placed in the washing machine and turned on.
  • Ensure that tissues, paper towels and gloves that have blood on them are sealed in a sandwich bag, placed in the bin in the First Aid Room and notify the appropriate people.
  • Ensure the Supervisor area and cash counting room is neat and tidy.

Checklist – Rep Supervisor – SENIORS

RESPONSIBILITIES

  • Supervisors’ arrival time must be 1 ½ hrs prior to public arrival (Min 2 people)

OPENING STADIUM (MAY NOT BE NEEDED FOR SENIORS)

  • To unlock the sliding door, use key in the lock pictured and turn to the right

DAY PROCEDURE

  • Supervisors to mic up (if available re: Local Comp)
  • Meeting to make sure that we are ready to go and disburse jobs/monitor day
  • Supervisor to make sure all games begin on time
  • Supervisors to set up balustrade at the top of the stairs for the Live Stream Operator. Balustrades are located near the First Aid room.
  • Supervisors to go to the Rep cupboard to get equipment out (shot clocks, paddles, Live Stream computer, statistics computer & skirts for the announcer table, door table and statistics/Scoretable table, representative box, board on wheels, Australian Flag.
  • Supervisors to have IPADS for the Statistician available and charged in backroom.
  • Shot clocks, Foul board, Paddles, to be placed on benches where games are taking place. Mindful that local competition may still be in progress.
  • Tables to be placed at door for doorperson, in the foyer leading into Court 1 and 2 for players to sign on
  • Towels to be available at each game bench.

SHOW COURT (Court 1) SET UP

  • Lounges, tables and esky to be taken out of storage underneath main Grandstand.
  • Lounges and esky to be placed on the floor in the middle of Grandstand.
  • Place court announcer table end court 2 ready for set up.
  • Table for Statistician/Scoretable to be available in foyer ready for set up.
  • Sign on sheets/pens on table for the players to sign on (must be 1 hour prior to commencement) of first game.
  • Laminate boards in A4 frames to be placed in front of sign on sheet so players aware of their sign on sheet
  • Bathrooms to be locked from Courts 3 – 6 so no entry can be made onto Courts 1 and 2.
  • Bathroom signage to be placed on bathrooms door advising of where bathrooms are located throughout the stadium.
  • Roller door at end of Court 2 and 6 to be locked.
  • Allocation of Change Rooms (Signage to be placed on appropriate doors)
  • Floor Wiping mops to be taken from laundry and placed at both ends of Court 1.
  • Door float and money box to be taken out of Safe and set up at entry station with EFTPOS machine (as per HH-Guide POS)
  • Supervisor float out of safe, as per HH Guide (POS) in Next Gen.
  • Entry fee board to be placed on door table
  • Doorkeeper will commence taking entry fees as per fee schedule. Wear a T (new) get in free
  • Games and Courts to be written on the whiteboard
  • At conclusion of local competition and possibly after 1st Youth game on (Court 1), prepare Court 1 for Waratah games.
  • Scorebench and players bench to be relocated in between Courts 1 and 2 (facing Grandstand).
  • Scorebench equipment to be set and ready for use.
  • All spectators’ seats to be removed from Court 2 and placed against the walls on Court 2.
  • Court 2 lights off to be turned off. Court 2 to be used as a buffer court. Rings to be unavailable to the public.
  • At conclusion of games on Court 1, all benches, seating and equipment to be returned to original positions.
  • All towels to be placed in laundry together with mop heads for washing.
  • Lounges, tables and esky to be returned to storage as per original position.
  • Supervisors to return balustrade from top of stairs and store at original location.
  • Supervisors to return all Representative equipment (shot clocks, paddles, live stream computer, statistics computers, headsets & game clocks), representative box, bench trolleys and Australian Flag to original location.
  • Supervisor must manage the function room ie: setup, clean up, lock up.

RESPONSIBILITIES OF DOOR KEEPER

  • Primarily to take Door Fees.
  • Log on to computers on completion of local comp in booth.
  • Supervisor float for POS terminal as per HH-Guide.
  • Doorkeeper continues taking fees as well as Customer Service.
  • If customer que is minimal doorkeeper should have the ability to sell merchandise and use NG – sales (as per HH Guide).
  • If unable to serve Customer, two-way radio should be used and a supervisor called.
  • Doorkeeper should be aware of cash holding and if time permits bank takings into NG – sales (as per HH guide).
  • If time permits doorkeeper must have the ability to process Statistician / Scoretable pays as per NG (as per HH guide).
  • Doorkeeper must have knowledge of end of day balancing of terminal as per NG (as per HH guide)

RESPONSIBILITIES OF SUPERVISORS

  • Supervisor to collect Representative Box and Documentation from the Representative Department.
  • At the beginning of each game and each time slot, supervisor to meet and greet officials and make sure all players have signed on.
  • Welcome performers and singers upon arrival.
  • Ensure Waratah Games are run as per NSW Waratah procedures (kept in Black Rep Box).
  • Ensure Senior Waratah Games run to Waratah League Running sheet (Hard copy kept in Rep Black Box).
  • Game Management Customer Service (as per HH guide).
  • Game Management First Aid (as per HH guide).
  • Game Management Zero tolerance (as per HH guide).
  • Game Management Conflict Resolution (as per HH guide)
  • Game Management Emergency (as per HH guide)
  • Game Management COVID PLAN (as per HH guide)
  • Supervisors to walk the courts, manage the spectators/behaviour whilst games in progress
  • Courtside scorers email end of game results to supervisor email
  • At conclusion of games, Supervisor to message BNSW with game result
  • Supervisor to retain all original documentation
  • All original documentation to forwarded by fax to BNSW, Representative Manager and HILLS BA CEO at the conclusion of the night.
  • All original documentation to be placed on Representative Managers desk.
  • Incident report form to be faxed at the conclusion of the night, behind the appropriate sign on sheet (if required) as per BNSW procedure in Rep box.
  • Courtside documents, sign on and result sheet are required to be mailed to BNSW on Monday after the weekend’s games.
  • Injury report to be taken to HILLS BA receptionist for follow up of player/association if required. 

GAME DAY CUSTOMER SERVICE

GAME DAY CUSTOMER COMPLAINTS, ISSUES and COMPLIMENTS

  • Complaints, issues and compliments to be emailed from Supervisor email to Representative Manager and CEO for disbursement.
  • Issues to be handled as per NSW Representative procedure (kept in Rep Black Box)
  • Game day Ejections to be handled as per NSW Representative procedure (kept in Rep Black Box)

 GAME DAY FIRST AID + FACILITY MANAGEMENT

  • Ensure dirty laundry has been placed in the washing machine and turned on (Instructions on how to use machine in NG HH Guide)
  • Ensure that tissues, paper towels and gloves that have blood on them are sealed in a sandwich bag, placed in the bin in the First Aid Room and notify the appropriate people.
  • Ensure the Stadium is secure (check fire exits and courtyard doors) and alarm activated at the conclusion of the night. Staff should leave the stadium together as per lockup NG HH Guide Policy.
